1. Introduction

UNScribe ("we," "our," or "the Service") is an AI-powered transcription and summarization tool for publicly available United Nations Web TV content. This Privacy Policy explains how we collect, use, and protect your information.

You must be at least 13 years old to use UNScribe. We do not knowingly collect personal information from children under 13 in compliance with the Children's Online Privacy Protection Act (COPPA). If we learn that we have collected data from a child under 13, we will promptly delete it.

2. Information We Collect

Account Information: When you create an account, we collect your email address and authentication session data. UNScribe uses magic-link authentication and does not store passwords in plain text.

Usage Data: We store the UN Web TV URLs you submit, selected language preferences, job status and events, transcription history, generated transcripts, diplomatic summaries/cables, email delivery status, and plan/quota usage associated with your account.

Analytics Data: We collect limited product analytics such as page path, referrer, optional authenticated user ID, approximate location, device/browser information, and pseudonymous technical identifiers for reliability and product improvement.

Billing Data: For paid plans, payment details are processed by a third-party payment processor. We store customer, subscription, price, billing interval, subscription status, and billing-period metadata needed to operate your subscription.

Technical Data: We may process browser type, device type, IP address, user agent, performance metrics, error logs, server logs, and operational logs for security, abuse prevention, reliability, debugging, and service improvement.

3. How We Use Your Information & Legal Basis

Under the EU General Data Protection Regulation (GDPR), we process your data on the following legal bases:

• Contractual Performance (Art. 6(1)(b) GDPR): Processing your email for account creation, providing transcription and summarization services, maintaining your transcription history, and delivering results via email — all necessary to fulfill our service contract with you.
• Legitimate Interest (Art. 6(1)(f) GDPR): Processing technical data, operational logs, product analytics, pseudonymous identifiers, and operational metrics for security, fraud prevention, debugging, reliability, service improvement, and capacity planning. Our legitimate interest does not override your fundamental rights.
• Consent / local preference where required (Art. 6(1)(a) GDPR): We show a cookie notice for transparency. Essential authentication storage is required for the Service; analytics and performance measurement are used only as described in this Policy.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

4. Third-Party Service Categories & Data Processing

To provide the Service, we use third-party infrastructure and service providers in the following categories. These providers process data only as needed to operate, secure, bill, support, and improve the Service, and they may change from time to time:

• AI processing services for transcription, summarization, formatting, and quality repair.
• Cloud hosting, serverless compute, deployment, and performance infrastructure.
• Database, authentication, account management, storage, and access-control services.
• Payment, subscription, invoice, receipt, checkout, and billing portal processors.
• Transactional email services for login links, completion notices, support messages, and optional document attachments.
• Product analytics and performance measurement tools used to understand reliability, usage, and service quality.
• Background job, queue, retry, scheduling, and operational monitoring infrastructure for long-running transcription jobs.
• Security, logging, debugging, abuse-prevention, and customer-support tooling.

We review providers and subprocessors periodically. Provider availability, retention, and data processing practices may change according to their own published terms and data processing agreements.

5. Data Retention

UN Web TV media is processed transiently for transcription and is not intentionally stored as permanent audio/video files by UNScribe. Transcripts, diplomatic summaries, saved history, job metadata, operational events, billing metadata, analytics events, and email delivery metadata are retained while your account remains active or as needed for service operation, security, debugging, legal compliance, billing, and dispute resolution. Upon verified account deletion request, account-associated content is deleted or anonymized within 30 days unless a longer retention period is required by law, security, billing, or legitimate operational needs.

6. Data Security

We implement industry-standard security measures including encrypted connections (TLS/SSL), secure authentication, and access controls. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Rights

You have the right to:

• Access your personal data stored in your account
• Export your transcriptions and summaries at any time
• Delete your account and all associated data
• Correct inaccurate personal information
• Object to data processing where applicable under GDPR

8. Cookies

UNScribe uses essential authentication/session storage and a local cookie-banner preference. We also collect limited product analytics and performance metrics for reliability and product improvement; we do not use third-party advertising cookies.

9. International Data Transfers

Our service may process data in jurisdictions outside your country of residence. We ensure appropriate safeguards are in place for any international data transfers in compliance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR).

10. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

UNScribe does not sell or share your personal information as defined by the CCPA/CPRA. We do not use your data for cross-context behavioral advertising.

11. Changes to This Policy
